How to Back Up Sensitive Documents

Back up sensitive documents with encryption, separate recovery information, and restore checks so a lost phone or damaged file does not erase access.

Identify what needs a backup

List documents that would be difficult to replace, such as legal records, certificates, and important financial paperwork. Check where each original and digital copy lives. Do not assume that an app's contents are included in your normal iPhone backup. Some apps exclude files or require their own backup process. Read the app's documentation and confirm the scope before relying on a general device backup.

Understand encryption and recovery

Choose a backup method that protects sensitive files with encryption. Find out whether the provider can access the contents and whether end-to-end encryption is available. Those details vary by service and settings. If a backup requires a separate password or recovery key, store it securely outside the backed-up device. A backup you cannot unlock will not help after your phone is lost or damaged.

Keep a separate recovery route

Avoid making one phone the only way to access your documents, authentication codes, and recovery instructions. Consider a protected backup on another trusted device or encrypted external storage, depending on your needs. Keep that copy in a different physical location when practical. Limit access to people who genuinely need it. If another person may need emergency access, document a deliberate process rather than sharing passwords casually.

Test restoration and update regularly

Periodically restore a noncritical sample and confirm that it opens correctly. Check whether the backup contains recent changes and all pages of important documents. Sync is not always a substitute for backup because deletions or unwanted changes may synchronize too. Learn whether your service offers version history or deleted-file recovery. Refresh your plan when you replace a phone, change apps, or update a recovery credential.
